Privacy policy
Who is responsible for your data
Cobalis is an initiative in formation and has no legal personality yet. Until it is incorporated, the data controller is its founder, Naël Bouzi, based in Brussels, Belgium, reachable at nael.bouzi@cobalis.org . Once Cobalis is incorporated as a non-profit association, the association will become the controller and this policy will be updated.
What we collect, and why
| When | Data | Purpose | Legal basis (GDPR) |
|---|---|---|---|
| You subscribe to the newsletter | Your email address and the date of your request | Sending the monthly newsletter | Your consent, Article 6(1)(a) |
| You email us | Your name, email address and message | Replying to you and keeping a record of the exchange | Our legitimate interest in answering, Article 6(1)(f) |
| You apply to join | Your name, email address, phone number, CV and what you write in the application form | Assessing your application and contacting you about it | Steps you ask us to take, Article 6(1)(b), and our legitimate interest, Article 6(1)(f) |
The application form asks only for what we need to assess an application; without those details we cannot consider it. We do not sell your data, use it for advertising or share it with partners or sponsors. We do not use automated decision-making or profiling.
No cookies, no tracking
This website sets no cookies and stores nothing else on your device. It uses no analytics, advertising or social media trackers, and fonts are served from our own site, not from a third party. That is why there is no cookie banner: under the ePrivacy rules, applied in Belgium by Article 10/2 of the Data Protection Act of 30 July 2018, consent is needed only for cookies and similar technologies that are not strictly necessary, and we use none. If we add audience statistics in future, we will use a cookieless tool and update this policy first.
When you subscribe to the newsletter, your browser sends your email address directly to Brevo, our newsletter service. No cookie is set or read on this site in the process.
Like any website, the site is delivered by a hosting provider, Netlify, which processes technical data such as IP addresses in its server logs to deliver the site and keep it secure.
Who processes data for us
- Application form: Tally BV, a company based in Belgium, which stores form data in Europe (Tally and the GDPR, Tally’s privacy policy).
- Newsletter: Sendinblue SAS, trading as Brevo, based in Paris, France, which keeps the subscriber list and sends the newsletter on our behalf (Brevo’s privacy policy).
- Email: the provider that hosts our cobalis.org mailbox.
- Website: Netlify, Inc., based in San Francisco, United States, which hosts the site and keeps the server logs described above. Transfers of these logs to the United States rely on the EU-US Data Privacy Framework, as set out in Netlify’s data processing agreement.
These providers act on our behalf. We choose providers that store data in the European Union where possible, and we use their data processing agreements.
How long we keep it
- Newsletter: until you unsubscribe. You can unsubscribe at any time with the link in every issue, or by writing to us.
- Messages: as long as needed to deal with your request and any follow-up, then deleted.
- Applications: until the end of the recruitment round you applied to. If you are not selected, we delete your application at the end of that round, unless you agree that we keep it for a later round.
Your rights
You can ask to access, correct or delete your data, to restrict or object to its use, and to receive it in a portable format. You can withdraw your consent to the newsletter at any time; this does not affect anything we did with your consent before. To exercise these rights, write to nael.bouzi@cobalis.org .
If you think we have not handled your data properly, you can complain to the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit), at dataprotectionauthority.be.
